Key Responsibilities

  • Tenant Assistance: Provide support to tenants with queries related to maintenance, parking, contracts, cheques and other property services. 
  • Handling Enquiries: Respond to tenant and property owner queries regarding parking, maintenance, renewals, and other issues, ensuring timely and professional communication. 
  • Third Party Liaison: Follow-up on Ejari issuance, DEWA and chiller connection. 
  • Updating Trackers: Maintain accurate records of property details, tenant information, lease agreements, and renewals. 
  • Renewals: Generate Rental Index results, draft and send renewal notices within 100 days of expiry, complete process within 30 days of expiry 
  • Database Management: Enter new properties into CRM, reconcile CRM with contract details, master sheets and payment details 
  • Maintenance and Inspection: Receive and record requests. 
  • Reports: Prepare weekly reports for property portfolio  
  • Lease Drafting: Assist in the preparation and review of lease agreements and relevant documentation. 
  • Checklists and Documentation: Prepare checklists for property inspections, move-ins, and move-outs to ensure compliance with company standards. 
  • Property Manager Support: Assist the Property Manager with any additional tasks required for property management, including coordination with contractors and suppliers.

Qualifications, Skills and Competencies 

Required  

  • Experience in administrative roles, ideally within the property management or real estate industry. 
  • Proficiency in Microsoft applications (Excel, Word, Outlook) and database management. 
  • Strong organizational skills and attention to detail. 

 

Preferred 

  • Familiarity with property management software. 
  • Previous experience handling tenant enquiries and property documentation. 

 

Skills and Competencies   

  • Strong communication skills to effectively respond to tenant and owner inquiries. 
  • Attention to detail when updating records, preparing documents, and managing lease renewals. 
  • Time management skills to handle multiple tasks and meet deadlines. 
  • Ability to work well in a team environment and support the Property Manager.
